OBJECTIVE:

Reunion Conference for Medilag80, to include spouses/partners and children in a fun and relaxing holiday atmosphere.

· Event will take place from Friday 22^nd July – Monday 25^th July 2005. Age range of attendees will be between 1 year and 40+.

RECOMMENDATION:

Listed below by Legacy Management are some of the factors that make Center Parcs, Elveden Forest the ideal location and venue for Medilag80 Reunion Conference.

· Venue will cater for most taste offering choice and flexibility on individual and family budgets.

VENUE:

Center Parcs, Elveden Forest, provides state of the art facilities are in the rural heart of Suffolk, one of the sunniest corners of England. It is located northeast of Cambridge near Thetford. Stanstead airport is nearby with good train and bus links from Victoria train station and Liverpool Street station in London. Direct bus services from Heathrow and Gatwick also run to Stanstead. Trains run from Stanstead airport and Cambridge to Thetford station, which is 15 minutes from site. There is a taxi rank outside Thetford station for a 5-minute journey to Center Parcs.

ACCOMMODATION

Center Parcs offers ample, spacious and varying types of accommodation, catering for all budgets, family size, and individuals. Accommodation at the centre ranges from 1 bedroom hotel rooms to 4-bedroom executive villas with seating areas and a kitchenette, giving families and individuals the option and flexibility to share villas and the opportunity of catching up with friends one to one in private. All villas have fully equipped kitchens including fridge/freezer, microwave, crockery and cutlery. Please note that there are key locks on the main doors but there are no key locks on bedroom doors.

· 2-bed villas have 1 room with double bed, 1 room with twin beds

· 3-bed villas have 1 room with double bed, 2 rooms each with twin beds

· 4-bed villas have 1 room with double bed, 3 rooms each with twin beds

A. Comfort villas do not include daily maid-cleaning service and daily change of towels. Comfort villas also have only one bathroom and toilet. Prices ranges from £483.00-£731.00 Monday-Friday.

B. Executive villas include a daily maid cleaning service and daily change of towels. All bedrooms have their own bathrooms and toilets. Price ranges from £642.00-£734.00 Monday-Friday.

C. Hotel accommodation is made up of only of 1-bed apartments and they include daily maid-cleaning service and daily supply of towels. They come in standard doubles or twin bed accommodation. There are no kitchens in the hotel accommodation. Price for hotel accommodation is £325.00.

FACILITIES & ACTIVITIES:

The center has a vast range of facilities and activities catering for all age groups, gender, and tastes of which guests can partake of at minimal cost.

Use of the Subtropical Swimming Paradise area is included in the cost of the accommodation. Please note that parental supervision is required for children using the pool area. Other activities on site range from Indoor Sports & Leisure and Outdoor activities.

Legacy Management will be circulating a list of activities so that we can pre‑book some activities via Legacy Management prior to arriving on site.
There is a baby-sitting facility, cost start from £4.50/hour up to midnight and £5.00/hour after midnight; however, for 2 children under 5 years of age, two sitters will be required.
There is a well-stocked food store on site.
Other retail outlets on site include a gift shop, sports shop, etc.

CATERING:

There will be a finger buffet/Gala evening on Friday evening.
On Saturday evening there will be a dinner dance.
The center has a wide selection of eateries and restaurants catering for families, different budgets and tastes, in formal and informal settings. Cuisines and places to eat include The Country Club offering breakfast & an informal menu during the day, Huckleberry’s American themed diner – aimed towards families, Food Court, offering a selection of international dishes, La Sapiniere serving French and British dishes with quality reasonably priced wines in informal surrounding, accompanied by a resident pianist.

N.B.: Children 4 years and under are not charged for meals. Children between the ages of 4 – 14 years will be charged half price for meals Medilag80 have together as a group.

CONFERENCE ROOMS/MEETING POINTS:

A number of conference rooms/meeting points will be arranged over the course of the conference.

TIME-SCALE:

Legacy Management will be working along the following time-scales.

Phase One

Receipt of draft contracts by weekending 10 December 2004.
Collection of a minimum of 75% of cost per family by 17^th December 2004, in order to secure accommodation which the remaining 25% due by 28^th February 2005.
Signing of contract by 5^th January 2005.
